Choose who receives EEHM emails
The Notifications page sets who is emailed, and how often, for each kind of message EEHM sends your company. Only company administrators see it; every company has it. The messages are grouped under:
- Rating processing: Error notices, Warning notices, the Company digest, Rating reports ready, Registration confirmations and Multifamily updates.
- File QA: File QA notices and the File QA digest.
- Field QA: Field QA completion copies, the Field QA completion summary and Field QA travel quotes.
Emails EEHM sends to your company end with a Manage who receives these emails button that opens this page.
Schedules
Error notices and Warning notices can't be switched off entirely while items are open; the quietest setting for them is In company digest. The Company digest has its own schedule (Every 6 hours, Every 12 hours, Once a day, or Once a week on Wednesday), Rating reports ready has its own (Every 6 hours, Every 12 hours, Every 24 hours, or Weekly), and Registration confirmations go out either Immediately or In company digest. Rating reports ready and Registration confirmations can be set to Off.
The Company digest can only be turned off, or left without a recipient, when nothing depends on it: if Error notices, Warning notices, or Registration confirmations are set to In company digest, the page refuses the change so those messages still reach someone. Setting Registration confirmations to Immediately likewise needs at least one recipient.
Who receives error, warning and File QA notices
Choose who receives Error notices, Warning notices, and File QA notices by role (Rater of record, Associated raters, Field inspectors, and Modelers, taken from each rating in Ekotrope), plus any Additional recipients you list, who are added to the ticked people. Everyone is on one visible To line. If none of the ticked people has an email on file and no additional recipients are listed, the rater of record's Ekotrope email receives the notice instead.
Above the Manage who receives these emails button, each of these emails says why it reached you, for example "You received this because Example Rating Co sends error notices to: rater of record, modelers, and 2 other addresses." When it went to the rater's Ekotrope email because no one on your list could be reached, the line says so.
Error and warning notices can also be grouped Every 6 hours (1 AM, 7 AM, 1 PM and 7 PM Eastern) or Every 12 hours (7 AM and 7 PM Eastern): one email per group of recipients lists every rating that group receives, with an errors section and a warnings section. Open errors are listed again in each email until they are fixed, the rating is registered, or it is rescinded; each warning is sent once. A newly chosen schedule starts at its next time slot. Address (Pub 28) failures are always sent right away. A separate tick box lists error and warning notices in the Company digest; that box is always ticked (and locked) when they are sent only In company digest, and a rating waiting only on an unlisted kind of notice is left out of the digest.
File QA notices and digest
File QA notices cover rework requests, file requests, and completed checklists. Rework and file requests always go out right away; the frequency (Immediately, Every 6 hours, Every 12 hours, Once a day, In File QA digest, or Off) applies to completed checklists only, and In File QA digest needs the File QA digest on with at least one recipient. Grouped completed checklists go out at the same times as grouped error notices (once a day is 7 AM Eastern): one email per group of recipients with each completed checklist attached as a spreadsheet (.xlsx), split into several emails when there are many. A checklist that can't be attached that time is listed as available in the portal and sent with the next email. Off stops completed-checklist emails only; the results stay in the portal.
The File QA digest starts Off; turning it on (Every 6 hours, Every 12 hours, Once a day, or Once a week on Wednesday) needs at least one recipient. It is one email to its recipients listing the projects waiting on your files or rework responses, completed checklists set to In File QA digest (as links), and the rework and file requests sent since the last digest. Nothing is sent when there is nothing to list.
Multifamily updates
These are only the multi-family project action items an EEHM QAD explicitly releases, including the corrections from a completed UUT design review, which the email groups as "UUT design review complete" for each model. Publishing a finding in Project discussions does not email anyone by itself. Updates released between emails are batched into one message at the interval you choose.
Two settings work independently: the direct-email cadence (Immediately, Every 6 hours, Every 12 hours, Every 24 hours, Weekly, or Off, and anything other than Off needs at least one recipient), and a separate tick box for whether released items may also appear in the Company digest. The digest keeps its own recipients and schedule, so ticking that box requires the digest to be on with at least one recipient. Turning either on later does not resend items that were released while it was off.
Field QA emails
- Field QA completion copies lists extra addresses copied on every Field QA completion email, which always goes to the case's rater, associated rater, and field inspector who work with your company.
- Field QA travel quotes lists who receives trip estimates as soon as they are created. EEHM can't create a travel quote for your company until this list has at least one address.
- The Field QA completion summary starts Off. Choose at least one recipient and a schedule (Every 12 hours at 7 AM and 7 PM Eastern, Once a day at 7 AM, or Weekly on Monday at 7 AM), and each summary lists the Field QA checklists RESNET accepted since the last one, with each accepted checklist attached as a spreadsheet (.xlsx). No summary is sent when nothing new was accepted, and checklists accepted while the summary was off are not sent later.
The company digest
Unless an administrator has changed it, the Company digest goes out once a day to the main contact email EEHM has on file for your company, as long as that address is valid. If EEHM has no usable main contact email, no digest goes out until an administrator adds digest recipients on this page. If the digest cannot go out, Error notices and Warning notices set to In company digest are emailed immediately instead, so an open problem always reaches someone.
Each rating the digest lists as waiting on your action shows its project name and Ekotrope project ID under the address, and up to two of the open issues you need to act on ("and N more issues" beyond that): unanswered warnings when it asks you to respond to a warning, open errors when it asks you to fix and resubmit. Address (Pub 28) reviews that EEHM staff handle are never listed as yours.
The digest also lists any of your ratings rescinded since the last digest, with who rescinded it (EEHM or RESNET) and the reason; a rating rescinded while your digest could not go out is not listed later.
