Keep your insurance certificates current

EEHM keeps a current certificate of insurance on file for each rating company. You upload your certificates in the portal, EEHM reviews them, and the portal reminds your company admins before a certificate expires.

Open Company records → Insurance in the sidebar, or go straight to /portal/insurance/.

What the Insurance page shows

Coverage on file has one row for each policy type:

  • General liability
  • Professional liability (errors and omissions)
  • Workers' compensation

Each row shows the certificate EEHM approved for that policy type: the insurer, the per occurrence or per claim limit, the aggregate limit, the effective and expiration dates, and a Download link for the certificate. The status reads:

Status Meaning
Current An approved certificate that expires more than 30 days from today.
Expiring soon The approved certificate expires within 30 days. Upload the renewal.
Expired The approved certificate's expiration date has passed.
Not on file EEHM has no approved certificate of this type for your company.

Below it, Waiting for EEHM review lists the certificates you uploaded that EEHM has not approved yet, with any note EEHM left for you. Certificate history lists the certificates a newer one replaced and the uploads EEHM rejected.

Everyone in your company can see this page and download approved certificates. Only a company admin can upload, and only company admins can open an upload that is waiting for review or that EEHM rejected; other users see it listed as Company admins only.

Upload a certificate

  1. On the Insurance page, select Upload certificate, or Upload renewal (or Upload) on a policy type's row to start with that type selected.
  2. Choose the policy type and type the insurer name.
  3. Enter the limits exactly as the certificate states them, in whole dollars: the per occurrence limit (general liability) or per claim limit (professional liability), and the aggregate limit. A statutory workers' compensation policy has no dollar limits; leave both blank.
  4. Enter the effective date and expiration date. The expiration date must be after the effective date.
  5. Attach the certificate: a PDF, or a clear photo or scan of it as a PNG, JPEG or WebP image, up to 25 MB.
  6. Select Submit for review.

The file shows Processing for a short while as EEHM's system checks it. If it says File could not be accepted, the file is damaged, locked with a password, or not the type its name says: upload it again as a plain PDF or image.

What happens next

EEHM checks the certificate against the details you entered. EEHM may:

  • Approve it. It becomes the certificate on file for its policy type and replaces the earlier one, which moves to the history.
  • Ask for more information. The note shows under the upload. Upload a corrected certificate; the earlier upload stays in the list until EEHM closes it.
  • Reject it, with a note explaining why.

Expiry reminders

When an approved certificate is 30 days from expiring, your company admins get one email with a link to this page. Upload the renewal before the expiration date. Once EEHM approves the renewal, no further reminder is sent for the old certificate.
