Fix rating issues

The Ratings section shows where your company's projects are in EEHM's processing workflow. Use it to find a rating that needs attention, fix the source data, respond to warnings, and ask the Vault to check the latest Ekotrope project.

This section appears only after EEHM enables Ratings for your company. Every portal user at an enabled company sees only that company's ratings.

Find a rating

Open Ratings in the portal sidebar. Ratings that need your attention appear first. Search by street address, city, rating name, Ekotrope project ID, or RESNET registry ID. Tick Only ratings that need your action to narrow the list to the ratings waiting on you. The list displays 50 rows at a time.

Status What to do
Action needed — fix and resubmit Open the rating, correct every listed error, then re-check it.
Action needed — respond to a warning Open the rating and send EEHM the requested explanation.
In processing Nothing is required from you right now.
Held: contract not signed The rating passed every check, but EEHM holds its RESNET registration until your company's contract with EEHM for the year is signed. Your company's signatory signs it on the Agreements page (Sign your agreement with EEHM); the rating then registers automatically.
Held: Field QA deadline missed The rating passed every check, but your company registered fewer than 200 ratings through EEHM last year and its in-person Field QA was not scheduled by March 31 or completed by June 30. EEHM holds RESNET registration of all of your company's ratings until it is; the banner at the top of the portal names who is missing. Request in-person QA (Request In-Person QA); the rating registers automatically once the Field QA is scheduled or completed.
Held: waiting for EEHM's pricing Nothing is required from you. EEHM holds registrations until it publishes the year's pricing; the rating then registers automatically once your contract is in place.
Registered The rating is complete and read-only.
Registered — report tasks in progress Registration is complete; EEHM is finishing related report work.
Rescinded The rating is no longer active and is read-only.

The red action count covers every page of the list, not only the page you are viewing. When you search, it counts only the ratings that match the search.

Correct blocking errors

Open a rating with Action needed — fix and resubmit. Each card explains one open error and where to fix it:

  • Fix in Ekotrope opens the Ekotrope project. Correct the project there and save it.
  • Review approved builders opens your portal Builders page when the project's builder does not match one EEHM has approved for your company.
  • An address card explains why the address does not meet USPS Publication 28 and may show a suggested correction. Make the correction in Ekotrope.

The portal does not edit the Ekotrope project for you.

Respond to a warning

Warnings need context rather than an automatic data correction. Enter a clear response under each open warning and select Send to EEHM. Previous responses remain visible with their date and author.

Sending a response hands that warning back to EEHM, and EEHM is alerted as soon as it is saved. The rating may change from Action needed to In processing even while the warning remains open, because it is now waiting on staff review.

Your response stays attached to the warning for good. It remains readable to EEHM after the warning is closed, so nothing you write is lost once the rating moves on.

Re-check after an Ekotrope fix

After you save corrections in Ekotrope, select I've fixed this — re-check now. The Vault pulls the current project and runs every processing check again. This can take a few seconds.

  • If all checks pass, the rating is queued for registration.
  • If something remains, the page refreshes with the current open items.
  • If Ekotrope or the address service cannot complete the check, the page tells you to try again later instead of reporting stale results as successful.

Re-checks are throttled. Wait for the countdown if you just ran one. A rating can be re-checked at most 12 times per day through the portal; after that, try again the next day or reply to the EEHM notification email if you are stuck.

Fix signed reports

A registered rating can show Signed reports need your action when Ekotrope could not produce its signed reports because the Rater of Record does not let other users sign reports for them. The dashboard's Ratings blocked on you card counts these ratings.

  1. The Rater of Record turns on that permission in their user settings in Ekotrope RATER.
  2. On the rating, select I've updated Ekotrope — retry reports. The Vault requests the reports again for every rating at your company blocked the same way for that Rater of Record.

While the retry is with Ekotrope, the card reads Retry pending and stays until Ekotrope accepts the request. Retries share the re-check limit: wait two minutes between tries, and a rating allows up to 12 a day. When the button isn't shown, or nothing is left to retry, contact EEHM so staff can look at the latest request.

Read a registered rating

Registration closes out the open items. As soon as a rating has a RESNET registry ID, any error or warning still open on it is resolved automatically, and none of them can come back. If you were partway through answering a warning when that happened, you can stop — it is no longer being asked of you.

This turns on the registry ID itself, not on how the rating got one. A rating registered directly in Ekotrope arrives with its ID already set and is treated as registered from the start. A rescinded rating keeps the ID it was given, so its items stay closed too.

Once registered, the page becomes a read-only record. It can show the RESNET registry ID, registration date, HERS Index, compliance programs, and links to completed QA results. A rescinded rating instead shows its rescission reason when one is available.

When a completed report exists for the rating's current registration, the top of the page shows Latest completed report with a Download PDF button and an All reports and earlier versions link through to the Reports section. After a re-registration the card stays away until the new report finishes, even though the earlier registration's reports are still listed under Reports. A rescinded rating doesn't show the card either, and its reports likewise remain under Reports. A card reading PDF unavailable — contact EEHM means the file isn't ready to download — ask EEHM for it.

The registry ID appears as plain text. The link through to the record in the RESNET registry is reserved for EEHM staff, so you see the ID to quote but not a clickable link. Look the rating up in the registry directly, or ask EEHM, if you need the registry record itself.

Legacy or out-of-scope ratings may appear as read-only In processing or Registered records. Contact EEHM if one needs a correction but has no action controls.
